Technical Specialist - Analytics & Marketing Automation

JOB SUMMARY

We are looking for a qualified Technical Specialist - Analytics & Marketing Automation to join our marketing team in the Nashville area. This person should be prepared to work in a fast-paced, detail oriented, team environment. He or she will focus in email development, website maintenance, and analytics reporting, all using our selected software tools. Local Metro Nashville candidates ONLY for consideration and relocation is not available for this position.

LINE OF REPORTING

This position works in collaboration with our graphic design and content specialist, and reports to our Vice President of Marketing.

ESSENTIAL JOB FUNCTIONS

  • Developing multiple monthly email campaigns with associated landing pages and email templates
  • Providing day-to-day support for the company websites and intranet
  • Pulling together monthly statistics for executive reporting
  • Day-to-day support of the Marketing team
  • Other duties as assigned

REQUIRED EXPERIENCE

  • Experience developing, sending and tracking email campaigns using Hubspot or a similar email marketing tool
  • Experience developing website content using Hubspot or a similar content management system
  • Experience with contact list management in Hubspot or a similar client relationship management software – utilizing website forms, workflow triggers, smart lists, and personalization tokens
  • Experience developing templates for email and webpages in a module-based CMS, with a focus on mobile optimization
  • Basic working knowledge of HTML and CSS and ability to work with rich text and layout in a WYSIWYG editor
  • Ability to edit image assets using Adobe Photoshop (resize, crop, work with layered images and text, and optimize image resolution for web)
  • Ability to retrieve & upload intranet content using FTP
  • Ability to retrieve data points from Google Analytics
  • Intermediate to advanced knowledge of Microsoft Excel to organize data for contact list management and analytics reports
  • Ability to utilize Microsoft PowerPoint to build presentation slides (for executive summary of analytics reports)

CUSTOMER SUPPORT SPECIALIST

JOB SUMMARY

With supervision and input, proactively drive the daily operations of the Travelink Meetings, Association Management and Groups (MAMG) Division.  Directly responsible for employee and customer satisfaction, including frequent interaction and engagement. This position is hourly, non-exempt and based within the offices of our Nashville headquarters. No relocation assistance is available.

LINE OF REPORTING

Position reports to the Manager of Meetings, Association Management, and Groups (MAMG) at Travelink, an American Express Travel representative. Responsible with ownership for the overall performance of the division. 

ADMINISTRATION

  • Answer and field all incoming meeting, association, and group calls
  • Receive and answer phone calls from individual meeting, association or groups’ participants/travelers
  • Monitor, process, and respond to all emails sent to respective meeting, association and group email mailboxes, forward when appropriate
  • Process incoming and outgoing mail
  • Compile distribute and maintain minutes for meetings, association or group meetings
  • Maintain inventory of materials used for meetings and groups, and by associations
  • Coordinate presentation materials for meeting, association management, and group divisions
  • Maintain office supply inventory
  • Send any and all legal documents for signature through DocuSign
  • Collaborate and prepare proposals for all RFP requests as needed

ASSOCIATION MANAGEMENT

  • Review, collaborate and respond to requests for proposals for perspective associations
  • Assist on boarding new client associations using standard policies and procedures
  • Assist board of directors with request for proposals for food/lodging/meeting space
  • Compile and distribute the association reports as directed
  • Compile website and e-newsletter updates for each association as needed
  • Maintain membership in Cvent Membership Module
  • Process new or renewal applications for membership for each association
  • Provide assistance to current or perspective members
  • Coordinate with appropriate board representatives and their respective reports needed for board members
  • Maintain and uphold policy and procedures for each association
  • Liaison with board of directors as directed

MEETINGS MANAGEMENT

  • Receive and process registration questions by email and phone
  • Process registrations received by mail manually into Cvent Event Registration
  • Aid in the meeting planning process as needed
  • Assist planner with the creation of Name Badges, Meal Tickets, Vendor Lists, Floor Plans, and various other materials to be put into packets for conferences
  • Assist planner with creation of post event evaluation and reports as required
  • Assist planner and accounting in the closing of groups. Includes running multiple reports out of Cvent and reconciling final balances with TRAMS.
  • Maintain National Sales Office (NSO) Representatives for Travelink
  • Management of meeting calendar
  • Learn and assist in creating Cvent Registration sites for clients based on needs for the event

MARKETING & COMMUNICATIONS

  • Learn and review processes to create promotional brochure materials for approved groups and meetings that meet DOT standards
  • Learn and review processes to create supporting marketing images for registration sites based on the client approved brochure
  • Maintain the Media Library for MAMG, as needed
  • Maintain the Itinerary Library for MAMG, as needed
  • Assist in maintenance of social media pages for each division of MAMG
  • Implement marketing schedule for each social media page as requested

OTHER SKILLS & RESPONSIBILITIES
